Three More Keyboard Shortcuts for Faster and Easier Use of Microsoft Word

In a previous tip, I gave three of my favorite  keyboard shortcuts for Microsoft Word and here are three more that I like. They apply to Word 2007 and 2010. As far as I know they also apply to Word 2003 but I no longer have a copy where I can test them out.

Change line spacing

Highlight the block of text whose line spacing you wish to change or use Ctrl+A to select the whole document. Then use one of the following keyboard shortcuts:

  • Ctrl+1  - Changes to single line spacing
  • Ctrl+2 - Changes to double line spacing
  • Ctrl+5  - Changes to 1.5 line spacing

Change case

Highlight the word or words whose case you want to change.

Then use the keyboard shortcut Shift+F3 to cycle through all upper case, all lower case, or title case (first letter capitalized).

Shift a paragraph or list item up or down

Place your cursor anywhere in the paragraph to be shifted.

  • Alt+Shift+Up Arrow  - Moves the whole paragraph up
  • Alt+Shift+Down Arrow  - Moves the whole paragraph down

In a bulleted  or numbered list, these two shortcuts move items up or down allowing an easy way to reorder the list.

Awesome tips. I have to look at the keyboard to type and get extremely frustrated when I am not looking and find out I've hit the cap locks key and have typed MOST OF MY SENTENCE IN CAPS AND NOT HAVE AN EASY WAY TO CORRECT IT :-) Thanks for the tip!!!

To change the case of the typed text select the text and use shift+f3 key to change the case as you want it to be.

Outlook 2010 has had some line spacing issues that were irritating me. One time I was single space and another I'd be double spaced. Sometimes within the same email.

I saw this tip that and the thought came to mind, "I wonder if THAT is what is happening? I wonder if the CTRL-1,2 and 5 work in Outlook 2010 also?" No real surprise if it did as most Microsoft prgs are similar.

But now I know why line spacing changed and I did not consciously chose to do so. I was using the CTRL-1 and CTRL-2 for hot keys on a program. If I used them while Outlook was open...zonk!!

Good tips! Regarding the last one, I think you should have added Alt+Shift+Right Arrow and Alt+Shift+Left Arrow. Try it - the effects are interesting!
